Grand Officer Descriptions

Overview of Position

The Grand President (GP) is responsible for determining the direction for the Fraternity, based on the directive of the Grand Council. GP is a full voting participant on the Executive Council and serves as its chairperson as well as the Chief Executive Officer of the Fraternity. The Grand President serves as the Fraternity’s representative on the Pharmacy Leadership and Education Institute’s Board of Directors.

Qualifications to serve as GP include good standing within the Fraternity and alumni status. Interested Brothers are required to submit a position application, meet with the Nominations Committee, participate in Open Candidate Review and formally address the Grand Council. Following election, the incumbent is expected to attend Regional Conferences, Leader-Development Seminar and Grand Council as well as the post-Grand Council officer retreat. The GP shall deliver to that person’s successor all documents and property belonging to the office.

Functions Responsibilities, and Tasks:

 

Active Member of the Executive Council

  • Participate in preparing the Council’s agenda for the current biennium and beyond
  • Set the policy-development committee agenda.
  • Collaborate with the GVPC to determine the strategy for and content of Fraternity publications and products (e.g., web site) as well as submit articles for publication
  • Collaborate with the GVPSA to identify and meet the needs of each region and each chapter
  • Collaborate with the GVPCA to identify and meet the needs of each region and each Chapter Advisor and to create strategies for collegiate expansion.
  • Collaborate with GVPAA to identify and meet the needs of alumni Brothers through the establishment and strengthening of alumni chapters and activities.
  • Collaborate with the GVPFA to ensure financial solvency
  • Provide direction and support to regional team members (e.g., RC, RDAA, RDCA) as necessary
  • Address risk-management incidents and document activity and outcome of action
  • Oversee related standing committees, task forces or project directors as needed
  • Attend Executive Council meetings held in conjunction with Grand Council, Leader-Development Seminars, Winter Retreat and elsewhere
  • Attend scheduled conference calls at least once monthly, but may occur twice with additional emergency meetings as required
  • Serve as the primary supervisor of the Executive Director
  • Monitor the financial records of the Fraternity

Pharmacy Leadership and Education Institute's Board of Directors

  • Attend meetings of the PLEI Board of Directors as outlined by the PLEI Chairman of the Board
  • Voting Member
  • Represent the interests of Phi Delta Chi
  • Reports PLEI activities to the Executive Committee

Additional Responsibilities

  • Participate in Thurston Cup judging
  • Attend chapter chartering ceremonies or chapter reactivation events (collegiate and alumni chapters) when possible
  • Conduct Chapter Excellence and Quality (ChEQ) visits, serve as team leader, and conduct follow-up actions to resolve deficiencies

 

Grand Past President (GPP)

Overview of Position
The Grand Past President shall provide counsel and assistance to the Grand President and other Fraternity officers and represent the Fraternity on the Board of Directors of the Pharmacy Leadership & Education Institute.

 
Following the Grand Council the officer is expected to attend Regional Conferences, Leader-Development Seminar and Grand Council as well as the post-Grand Council officer retreat. The GPP shall deliver to that person’s successor all documents and property belonging to the office.

Grand Vice President for Collegiate Affairs (GVPCA)

Overview of Position
The Grand Vice President for Collegiate Affairs (GVPCA) is responsible for exploring, developing, promoting, implementing and monitoring programs for the Fraternity’s collegiate chapters. The GVPCA promotes the Fraternity’s policies and procedure to the collegiate chapters and facilitates understanding and adherence to such policies and procedures.

 
The GVPCA is a full voting participant on the Executive Council, responsible for determining the collegiate direction for the Fraternity. The GVPCA serves as a conduit between the Regional Director for Collegiate Affairs (RDCAs), the Executive Council and the Fraternity. The GVPCA collaborates with the Grand Vice President of Student Affairs to effectively position RDCAs and Regional Correspondents (RC) to implement and monitor collegiate programming. The GVPCA directly advises and supports the RDCAs.

  • Support each of the Regional Teams as part of the Executive Team
  • Address risk-management incidents and document activity and outcome of action
  • Oversee related standing committees, task forces or project directors as needed
  • Attend Executive Council meetings held in conjunction with Grand Council, Leader-Development Seminars, Winter Retreat and elsewhere
  • Attend scheduled conference calls at least once monthly, but may occur twice with additional emergency meetings as required 

Collegiate Affairs

  • Develop, enhance and promote the Fraternity’s collegiate programming
  • Advise, guide and monitor activities of Regional Directors for Collegiate Affairs
  • Facilitate communication between RDCAs and Executive Council
  • Develop and maintain a Fraternity Operations Manual
  • Advise and support the collegiate Chapter Advisors
  • Promote Brother education that integrates the mission, vision, and values of the Fraternity, imparting life-long obligations to each Brother
  • Implement and monitor strategies for resolving accounts receivable
  • Oversee the Chapter Excellence and Quality Program (ChEQ)
  • Assist RDCAs, GVPSA, and RCs with regional conference planning and promotion

Fraternity Expansion

  • Implement strategies for establishing new collegiate chapters
  • Implement strategies for resurrecting inactive collegiate chapters
  • Identify local alumni Brothers to support core collegiate groups seeking charters

Grand Vice President for Alumni Affairs (GVPAA)

Overview of Position
The Grand Vice President for Alumni Affairs (GVPAA) is responsible for exploring, developing, promoting, implementing and monitoring programs for the Fraternity’s existing alumni chapters. The GVPAA promotes the Fraternity’s policies and procedure to existing alumni chapters and facilitates understanding and adherence to such policies and procedures. The GVPAA, in collaboration with the Regional Directors for Alumni Affairs, is responsible for making available resources to aid in the establishment of alumni chapters as determined by the interest of alumni and transitioning collegiate Brothers.
 
The GVPAA is a full voting participant on the Executive Council, responsible for identifying alumni needs of the Fraternity and advocating for them. The GVPAA creates and recommends the alumni agenda to the Executive Council. The GVPAA serves as a conduit between the Regional Director for Alumni Affairs (RDAAs), the Executive Council and the Fraternity. The GVPAA collaborates with the Grand Vice President of Student Affairs to effectively position RDAAs and Regional Correspondents (RC) to implement and monitor alumni programming to educate collegiate Brothers in preparation for his/her upcoming transition. The GVPAA and GVPCA work together to meet the needs of the alumni Brothers who serve as Chapter Advisors. The GVPAA directly advises and supports the RDAAs.

  • Collaborate with the GVPSA to identify and meet the needs of each region and each collegiate chapter with regard to alumni issues.
  • Support each Regional Team as part of the Executive Team.
  • Address risk management incidents and document activity and outcome of action.
  • Oversee related standing committees, task forces or project directors as needed.
  • Attend Executive Council meetings held in conjunction with Grand Council, Leader-Development Seminars, Winter Retreat and elsewhere.
  • Attend scheduled conference calls at least once monthly, but may occur twice with additional emergency meetings as required. 

Alumni Affairs

  • Develop, enhance and promote the Fraternity’s alumni programming.
  • Support alumni chapter activities.
  • Advise, guide and monitor activities of Regional Directors for Alumni Affairs.
  • Facilitate communication between RDAAs and Executive Council.
  • Develop and maintain a How to Start an Alumni Chapter Manual.
  • Promote Brother education that integrates the mission, vision, and values of the Fraternity, imparting life-long obligations to each Brother.
  • Create mechanisms to maintain alumni demographic information for consistent communication.
  • Administer the Alumni Chapter Foundations Program (AFP).
  • Encourage alumni Brothers to pay National Alumni Dues (NADs).

Fraternity Expansion

  • Create and implement strategies for establishing new alumni chapters.
  • Implement strategies for resurrecting inactive alumni chapters.
  • Identify local alumni Brothers to support the core collegiate group seeking collegiate charters.

Grand Vice President for Communications (GVPC)

Overview of Position
The Grand Vice President for Communications (GVPC) is responsible for developing, organizing and creating the publication agenda for the Fraternity’s official publication, The Communicator. The GVPC writes, solicits article contributions, edits and produces a journal, The Communicator of Phi Delta Chi, the monthly electronic e-Communicator, and other capital documents for the Fraternity.
 
The GVPC promotes the Fraternity’s policies and procedure with regard to communications and the national web page and facilitates understanding and adherence to such policies and procedures. The GVPC educates collegiate and alumni chapters regarding resources available for interacting with one another.
 
The GVPC is a full voting participant on the Executive Council, responsible for determining the publication direction for the Fraternity. Furthermore, the GVPC, in collaboration with the Regional Directors for Communications (RDComm), coordinates communication among all sectors of the Fraternity. The GVPC collaborates with the Grand Vice Presidents of Student Affairs, Collegiate, Alumni Affairs, and Financial Affairs to assure that all aspects of the Fraternity are adequately covered in the Fraternity’s publications and other information initiatives. The GVPC serves as a conduit between the Regional Director for Communications, the Executive Council and the Fraternity.

Publication Affairs

  • Experience with Powerpoint, Canva, or other publication programs.
  • Experience with social media and ability to utilize them.
  • Experience with article writing and editing.
  • Develop, enhance, and promote the Fraternity’s publication programming and its required scheduling.
  • Edit and produce various printed and other media documents that record the Fraternity’s history.
  • Advise, guide and monitor the Executive Director’s activities with regard to the writing, editing, publishing, and distribution of The Communicator.
    • Assist in communication with the publishing company
    • Organize materials to be sent to the publishing company to be used in The Communicator.
  • Issues press releases to major pharmacy journals when appropriate.

Grand Vice President for Financial Affairs (GVPFA)

Overview of Position
The duty of the Grand Vice President for Financial Affairs is to supervise and review the finances of the fraternity. The GVPFA will have access to account statements, be responsible for the management of the annual budget, and serve as Chair of the Finance Committee. The GVPFA primarily serves as a “checks and balance” and to make recommendations to the Executive Council regarding security of our finances. The GVPFA is a full voting participant on the Executive Council, responsible for identifying financial needs of the Fraternity and advocating for them.

  • Assist in collegiate chapter dues collection.
  • Assist in collegiate chapter debt negotiation and collection.
  • Address risk management incidents and document activity and outcome of action.
  • Oversee related standing committees, task forces or project directors as needed.
  • Attend Executive Council meetings held in conjunction with Grand Council, Leader-Development Seminars, Winter Retreat and elsewhere.
  • Attend scheduled conference calls at least once monthly, but may occur twice with additional emergency meetings as required. 

Financial Affairs

  • Review monthly financial reports and other financial records as provided by the Executive Director and present them to the Executive Council.
  • Partner with the Executive Director to review all contracts and ensure they meet our requirements and are within spending guidelines.
  • Drive creation/oversight of the annual budget.
  • Act as a steward of financial reserves, providing oversight and guidance as needed to investments. 
  • Liaison with Asset Management Company engaged by Executive Council.
  • Quarterly review of budget analysis completed and presented to Executive Council.
  • Provide oversight/approval of large expenditures (transactions greater than $1000).
  • Review a master list of assets quarterly (e.g., Life Member funds, emergency fund bonds, checking account) and report to the Executive Council.
  • Provide oversight of restricted funds (i.e., Life Member funds and emergency funds). 
  • Provide annual review of financial policies and Accounting Policy and Procedures Manual.

Finance Committee

  • Chair of Finance Committee
  • Schedule meetings at least two times per year as per Accounting Policy and Procedures Manual 

Additional Responsibilities

  • Participate in Thurston Cup judging.
  • Attend chapter chartering ceremonies or chapter reactivation events (collegiate and alumni chapters) when possible.

Grand Vice President for Student Affairs (GVPSA)

Overview of Position
The Grand Vice President for Student Affairs (GVPSA) is responsible for the content of each year’s Achievement Award Program (AAP) and encouraging active participation from collegiate chapters. The GVPSA also promotes collegiate attendance at Fraternity Regional and National meetings. The GVPSA reports to the Grand President.
 
The GVPSA is a full voting participant on the Executive Council, responsible for identifying collegiate needs of the Fraternity and advocating for them. This individual also coordinates and supervises the activities of the Regional Correspondents. With the assistance of the Executive Director, Grand Vice President for Collegiate Affairs, and the Project Director for Regional Conferences, the GVPSA aids in coordination of Regional Conferences. The GVPSA will assist Regional Correspondents in tracking and promoting chapter participation in the Achievement Award Program. They also administer the Achievement Award Program under the direction of the Executive Director and the AAP Administrator.
 
Qualifications to serve as GVPSA include good standing in the Fraternity as well as collegiate status for the first year of the two-year term. Interested Brothers are required to submit a position application, meet with the Nominations Committee, participate in Open Candidate Review, and formally address the Grand Council. Following election, the incumbent is expected to attend Regional Conferences, Leader-Development Seminar and Grand Council as well as the post-Grand Council officer retreat. The GVPSA shall deliver to that person’s successor all documents and property belonging to the office.

  • Determine the strategy for increasing collegiate Brother attendance at fraternal meetings in conjunction with the Regional Correspondents.
  • Determine a strategy to increase participation by chapters in the Achievement Award Program and the Chapter Excellence and Quality (ChEQ) program, in conjunction with the GVPCA.
  • Encourage individual chapters to write articles for The Communicator on interesting and successful programs.
  • Guide and support the Regional Correspondents in their communications with Chapter Worthy Correspondents.
  • Work with the GVPCA to review and develop Brotherhood education.
  • Advise, guide, and monitor activities of Regional Correspondents.
  • Ensures a positive influence on the early marketing of information about Phi Delta Chi regional and national meetings.

Becoming A Candidate for National Office

Applications for elected National Office positions should be completed and submitted to the Executive Director. Details of the Executive Council election process can be found here. Candidates are required to participate in Open Candidate Review (open forum for meeting attendees to ask questions of the candidate during Grand Council), meet with the Nominations Committee, and provide a short statement to the Grand Council prior to the election.
