Constitutional Committees

Committees are important for an organization to be effective and run smoothly. Committees are important tools for chapter leaders to use to help the Chapter run more efficiently and involve many Brothers. Committees exist to get a specific job done quickly and efficiently. A few Brothers focusing in one area will get a job done in less time with fewer headaches and a more thorough understanding of the subject than can be accomplished in a general meeting. They save the time of other Brothers and facilitate the progress of chapter meetings, because they remove from the floor of a regular meeting all preliminary work leading up to final consideration and action.

Committees offer a splendid means for determining the ability, energy, and responsibility of Brothers. They present an opportunity where all may actively serve the Chapter along the lines, which interest them most. Committee membership should not be taken lightly and should be regarded as a definite opportunity to display true fraternal loyalty and to render conscientious service. Committee work is an important way of teaching younger Brothers the accumulated knowledge of the Chapter.

Chapter Standing Committees

Executive Committee

  • This committee consists of the WCC (Chair), WVC, WKF, WKRS, WC and the Chapter Advisor.
  • Meet once a month to guide the policies and actions of the Chapter, assuring they are in line with local and national standards. Meeting during the day may make it easier for the Chapter Advisor to attend.
  • Continuously review the Chapter's progress against the plan outlined at the chapter retreat and make adjustments based on the outcomes.
  • WCC notifies the committee of any new issues or agenda items for chapter meetings.
  • WVC gives an update on all of the committees.
  • WKF reports on the current financial status of the Chapter.
  • WC reports the Achievement Award items due that month and the status of their completion, along with the status of the report due immediately prior.
  • Develop and follow a yearly budget, which outlines expected expenditures and helps identify the revenue required for the coming year.
  • Communicate with the Dean and the Faculty of the host school.
  • Write any thank-you notes on behalf of the Chapter that do not fall within the realm of another committee.

Financial Review Committee

  • This committee consists of the WKF (Chair), WCC, and WVC and the Chapter Advisor.
  • Assure the financial stability of the Chapter.
  • Review the fiscal records of the Chapter every two months.
  • For each audit, the committee will investigate the balance of checking and savings accounts, securities and investments held by the Chapter, and the methods used by the treasurer in handling the chapter’s funds.

Membership Committee

  • This committee consists of a WCC-appointed chair and Brothers of the Chapter selected to serve on this committee.
  • Maintains and updates collegiate Brothers’ addresses, telephone numbers, and email addresses.
  • Utilize membership recruitment materials provided by the National Office and create compliments incorporating the chapter's culture.
  • Creates a plan for recruiting new Brothers including measures to acquaint prospective Brothers with the Chapter and its Brothers. Personal contact with prospective member is essential to indicate the sincerity driving recruitment.
  • Monitor Brothers' grades once a semester, with permission of the individual, to assure compliance with the Chapter’s scholarship standard.
  • Organize the chapter's activities to promote scholarship.
  • Evaluate activities and provide recommendations for the next group's consideration.

Social Committee
  • This committee consists of a WCC-appointed chair and Brothers of the Chapter selected to serve on this committee.
  • Create a social activity schedule for the current year.
  • Assume the responsibility for assuring the proposed social events adhere to Fraternity Risk Management Policies and do not place the Fraternity's image at risk.
  • Organizing and implementing social projects that promote Brotherhood.
  • Evaluate program and provide recommendations for the next group to consider.
  • Ensure the timely completion of all social projects.
  • Write-thank you notes on behalf of the Chapter for social events.

Achievement Award Committee
  • This committee consists of the WC (Chair) and Brothers of the Chapter selected to serve on the committee.
  • Meet at least once a month to discuss and appropriately delegate each Achievement Award item to a Brother on the committee or disperse to other committees, if appropriate.

Additional core recommended committees include the following

Development (Fundraising) Committee
  • This committee consists of a WCC-appointed chair and Brothers of the Chapter selected to serve on this committee.
  • Create a fundraising plan for the Chapter.
  • Organize the Chapter to execute the fundraising plan.
  • Evaluate each program and create recommendations for the next group to consider.
  • Ensure the timely completion of all fundraising projects.
  • Write-thank you notes on behalf of the Chapter for fundraising events.

Professional & Service Committee
  • This committee consists of a WCC-appointed chair and Brothers of the Chapter selected to serve on this committee.
  • Research various professional programs and make recommendations to the Executive Committee to allocate chapter support.
  • Create a schedule for Chapter participation.
  • Organize the chapter Brothers to provide service to the community.
  • Research, plan and execute professional programs on health topics for other health professionals of various disciplines or for the lay public.
  • Evaluate all participation and make recommendations for the next group's consideration. Ensure the timely completion of all philanthropy/professional projects .
  • Follow-up with correspondence on behalf of the Chapter at the end of philanthropy or professional events. Provide thanks to individuals outside the Chapter who have donated resources to make the program/event possible (i.e., a guest speaker).

Publication Committee
  • This committee consists of the WAL (Chair and perhaps editor) and Brothers of the Chapter selected to serve on this committee.
  • Creates a publication schedule and provides officers, committee chairs, and authors of articles about 2 months before deadlines for articles to include in the next edition.
  • Manages the content of the publications and encourages contributing authors to adhere to the publication’s schedule.
  • Assures the content of the publication contains information to pique and retain the interest of alumni Brothers.
  • Obtain a means of printing (commercial or within the Chapter or school) and mailing the finished publication to all chapter Alumni and special friends of the Chapter, all Regional and Grand Officers and all Chapters within the Chapter's region.
  • Assumes public relations responsibility, disseminating information regarding chapter operations, functions and announcements and individual Brother success in professional and scholastic endeavors to the Dean and Faculty.
  • Maintains the Chapter bulletin/display board.
  • Write thank-you notes on behalf of the Chapter for any financial support for the publication.

Examples of Non-essential Chapter Committees

The following is a list of possible committees that the Chapter may wish to establish, in addition to the core committee outlined above. This list is a guideline and is not meant to limit chapter officers' creativity. Chapters should structure their committees to effectively meet their own needs.

Alumni Membership Committee

Promotes Phi Dex and the importance of continued involvement in the Fraternity during the Delta phase and after graduation. Recommends chapter activities that are geared toward alumni inclusion and participation.

Career Opportunities Committee

Provides information to all chapter Brothers on the various career opportunities that exist in the profession. Chapters may also set up subcommittees based on practice area to provide more focused information (e.g., institutional practice, consultant practice, independent community practice, chain practice, nuclear practice, managed care practice).

Scholarship Committee

Creates a plan to encourage academic excellence. The committee is responsible for orchestrating innovative scholar activities and ways to celebrate academic success.

Constitution & Bylaws Committee

Works to constantly improve and modify the Constitution and Bylaws. Proposed revisions or amendments are presented for consideration at a chapter business meeting.

Convention Committee

Organizes accommodations and transportation for various conventions or meetings relating to Phi Dex or other state or national pharmacy meetings.

Health Awareness Committee

Provides information to the public on well care and the importance of good health. (This might be a specific sub-committee of the philanthropic/professional committee).

Inter-Organizational Committee

Works with other professional pharmacy organizations, not only on the chapter level, but also on the state and national levels as well. The committee might partner with other health care professional organizations.

Legislative Committee

Provides a forum for student involvement in the legislative process and its effect on the pharmacy profession.

Newsletter Committee

Is responsible for publishing a Phi Dex newsletter for distribution on campus.

Poison Prevention Committee

Provides education to preschool and elementary school children on the dangers of poisoning from household chemicals and prescription medications. The Chapter promotes and is involved National Poison Prevention Week.

Policy Committee

Gives students the opportunity to voice concerns and develop proposals for future consideration for Phi Dex policy.

Internal Public Relations Committee

Arranges and schedules the activities of regular Phi Dex chapter meetings. The committee is responsible for announcing Phi Dex meetings and activities to collegiate and alumni Brothers. (This may be a sub-committee of the publications committee).

Substance Abuse Committee

Educates student pharmacists and the public on the risks and health hazards of drugs of abuse. Areas of work may include stress management and resource availability. The committee works with faculty and administrators in the development of guidelines pertaining to students with chemical dependency problems.
